Carillion invests in SMS to improve communications with fleet drivers

Carillion Fleet Management, a division of the UK’s leading support services provider Carillion plc has been a Tranman customer for over five years.  Working in partnership with the Tranman team, Carillion Fleet Management has been at the forefront of developing state of the art, interactive web sites for their customers and drivers to improve fleet efficiency.

Carillion Fleet Management has recently invested further in this technology to improve the level of service offered to their drivers.

The driver SMS functionality has been designed to increase efficiencies of fleet administration activities and improve communication with drivers.  This includes:

  • confirming appointment details with the driver when booking a service or MOT
  • supplying an update on progress of accident repairs
  • providing MOT reminders
  • confirming daily rental bookings.

Using the SMS facility, Carillion hopes to reduce the number of missed appointments for planned repairs and to reduce the amount of time the fleet administration team spend on the telephone, dealing with routine enquiries from over 8,000 fleet drivers.

The SMS is automatically created when the fleet administrator adds a job to the Tranman software.  This facility can be configured to ensure only specific users can generate SMS, or so that only certain types of job trigger the message.  Each SMS includes all the information the driver needs including the appointment detail, date and time.  Software to monitor the messaging system shows that 60-70 messages per day are currently being sent.

Another new development is the driver web portal that allows Carillion’s drivers to obtain quotes on-line for new vehicle lease contracts, which are then stored in the Tranman software.  The driver portal links directly to the CAP web site, enabling the driver to compare different vehicle makes and models at a glance.  Once the driver has chosen their preferred vehicle, they can then specify the optional extras required to be included in the vehicle specification and produce a detailed quotation.  The quote is saved on the Tranman system, ready to be processed by the fleet administration team who place the vehicle order.

Matt Goodstadt, Senior Account Manager comments, “The driver portal benefits Carillion, their customers and the end user, the driver.  The drivers benefit by being able to quickly compare different vehicles and choose for themselves the best option in terms of cost and specification.  Carillion is able to achieve a vast reduction in administration time, where previously quotations were prepared by hand, this efficiency can be passed on to their customers in the form of more competitive rates.”
